Working Hours: 8 AM to 6 PM CET (flexibility required for occasional extra hours)
About the Role
We are seeking an exceptional Personal Assistant (PA) to be the trusted partner and extension of the CEO. In this critical role, you will ensure seamless operational, strategic, and personal support, enabling the CEO to focus on
- impact decisions. By anticipating needs, solving challenges proactively, and managing a dynamic workload with precision, you will play a vital role in driving organizational success.
Key Responsibilities
- Manage complex schedules, prioritize appointments, and handle calendar conflicts with efficiency.
- Coordinate intricate travel arrangements, ensuring seamless itineraries and
- effectiveness. - Act as a gatekeeper and liaison, handling sensitive communications with professionalism and discretion.
- Prepare materials for meetings, events, and projects, ensuring the CEO is always fully equipped.
- Monitor and respond to emails, draft correspondence, and maintain an organized inbox.
- Oversee event planning, meeting coordination, and stakeholder
- ups. - Track expenses and manage reconciliation tasks with tools like Expensify or Quick
Books. - Support the CEO’s daily priorities with a proactive and adaptable approach, managing crises calmly when they arise.
What We’re Looking For
- Proven experience supporting C-suite executives or entrepreneurs in
- pressure environments. - Exceptional organizational skills and the ability to juggle multiple tasks with competing deadlines.
- High emotional intelligence, excellent communication skills, and impeccable discretion.
- Technical proficiency in tools like Microsoft Office, Google Workspace, Superhuman, Asana, Trip
Actions, and CRM platforms. - Experience in industries such as technology, consulting, or events management is a plus.
- Ability to thrive in dynamic,
- paced environments with shifting priorities. - Availability and flexibility to respond to messages and adapt to the CEO’s schedule as needed.
